Front Office Coordinator – Mormile Agency Inc.
One of the top Farmers Insurance Agencies, in the country, is adding to the team, someone to assist with taking the Agency to the next level. This role supports daily operations and keeps the front of the office sharp, organized, and ready for anything. You’ll assist clients, back up licensed staff, and manage a range of non-licensed administrative tasks.
You’re the first face people see and the one they remember when they leave. That matters here.
Compensation
Annual Salary: $30,000

What You’ll Handle
-
Open the office and TV by 8:00 AM. Close both by 5:00 PM
-
Monitor voicemails and relay messages
-
Prep folders and ID cards for the day
-
Adjust calendars, follow up on appointments, and manage Zoom invites
-
Take incoming calls and direct them to the right team member
-
Pull up client info in ECMS / APEX and review notes before transfer
-
Use Telegram to coordinate with Agents when clients arrive
-
Walk clients through AOC and TOLH forms
-
Offer water, coffee, and provide a snack tray
-
Mark meetings as Completed or No-Show
-
Keep the MIG Share Drive updated (e.g., contact spreadsheets)
-
Scan and file documents into client folders
-
Order supplies and manage front-office inventory
-
Keep fridge stocked with client water
-
Assemble and replenish gift bags
-
Track and distribute Captains Tickets
-
Prepare folders (FFR & NBDS)
-
Sort daily mail—keep what matters, discard what doesn’t
-
Send cards to clients (thank you, sympathy, congratulations)
-
Handle walk-in billing and payment receipts
-
Apply checks and cash payments in ACA
-
Close ACA at day’s end
-
Make bank deposits within 48 hours
-
Courtesy call clients regarding claims; follow up with adjusters when needed
-
Keep task list up to date—both assigned and self-managed
-
Maintain Facebook: two posts per week, respond to comments
-
Run monthly giveaways and drawings
-
Reach out to vendors for co-branded marketing opportunities
-
Submit cost-share documentation for reimbursement
-
Find new ways to participate in the community
-
Maintain the Wall of Heroes
-
Optional: Make outbound calls to help schedule life insurance appointments (eligible for bonus)
